Cardinal Ritter College Prep, a St. Louis Archdiocesan coeducational college preparatory high school for grades 9-12, seeks an Executive Assistant. Applicant must demonstrate the ability to support the president of the school and possess strong organizational skills, administrative, and interpersonal skills, confidentiality and a professional demeanor. A bachelor’s degree or certification and experience is preferred.

Be able to articulate and act in accordance with the policies, procedures, and mission and vision of the St. Louis Archdiocese and Cardinal Ritter College Preparatory High School. Proficiency in Google applications, Raisers Edge, and Microsoft Office is preferred.

• Responsible for all administrative duties for President/CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed donor related materials.
• Plans, coordinates and ensures the President's schedule is followed and respected.
• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President including those of a sensitive or confidential nature and determines appropriate course of action, referral, or response.
• Provides a bridge for smooth communication between the President and the faculty, staff, students, and families and external supporters.
• Provides support to other administrators including making outbound calls to families regarding attendance and grades.
• Calendaring as necessary for other administrators
• Works closely and effectively with the President regarding upcoming commitments and responsibilities, following up appropriately.
• Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters and emails, personal correspondence, and other tasks that facilitate the President’s ability to effectively lead the school.
• Assists and supports the President in preparing for meetings, including preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary.
• Welcomes guests and by greeting them, in person or on the telephone, and answering or directing inquiries.
• Works with outside media on behalf of the President to help promote the school and mission.
• Management and maintenance of donor records and prospects with the appropriate follow-up system
• Create communication on behalf of the President for internal and external constituencies
Executive Assistant Skills and Qualifications:

• Superb written and verbal communication skills
• Comprehensive experience with Google and Microsoft Office
• Impeccable attention to detail
• Excellent communication and relationship-building skills with an ability to prioritize, and work with a variety of internal and external stakeholders
• Proactive and ability to foresee and act upon next steps without direct guidance
• Excellent time management and calendaring skills
• Ability to keep others on task/schedule

Education and Experience Requirements:

• Bachelor’s degree preferred, but not required
• Three to five years of administrative experience
• Three to five years of executive assistant experience
• Experience managing multiple calendars
